This guide explains how to create Email Signature templates and assign them to specific users in your Google Workspace.

Step 1: Access Signature Manager
After logging in with your account, go to Signature Manager from the main menu.

Step 2: Create a New Template
Click on Create New Template to open a new window where you can start building your signature template.

Step 3: Set Up Your Template
Give your template a Title for reference so you can easily identify it later.
You can use the Templates button to select from ready-made templates or create your own using the editor.
In the editor, you can use Insert Variable to add dynamic fields such as the user’s name, email, or job title. This ensures that when the template is assigned to users, the correct information will automatically populate.

👉 Tip: You can also preview how the signature will look with a user’s actual information by selecting a user from the “Select User to preview” dropdown. This allows you to confirm that all variables display correctly before saving.

You can also insert an image using a URL. For example, upload an image to Google Drive and copy the link. Make sure the image’s sharing settings are set to Anyone with the link, otherwise it will not display in the template. In the editor, click the image icon and paste the URL. 

Step 4: Save Template
Once you have finished setting up your template, click Save to store it. Unlike Labels or Out of Office templates, having a template is mandatory for Email Signatures.

Step 5: Assign Signatures to Users
Click Apply to Users. A list of users will appear. Select the users you want to assign this signature to and then click Add Signature.
