Labels Guide

This guide explains how to create Gmail Label templates and assign them to specific users in your Google Workspace.

Step 1: Access Templates
After logging in with your account, go to the Labels Manager menu at the top. From the dropdown, select Templates.

Step 2: Create a New Template
Click on Create New Template to open a new window where you can start building your label template.

Step 3: Set Up Labels
Give your template a Title for reference so you can easily identify it later.
Click on Add Label to create new labels. Each label can have its own name and color, which can be adjusted anytime. Labels can also be nested inside other labels to organize your Gmail structure as needed.

Step 4: Manage Selections
You can click Select All to select all labels or Deselect All to clear your selections. To remove any labels, click Delete Selected.

Step 5: Save Template
Once you have finished setting up your labels, click Save to store your template. Your label template is now ready to be used.

Step 6: Assign Labels to Users
Go to the Labels Manager menu again and select Users from the dropdown. Make sure the users are enabled on the Organization page so they appear in the Users list. Select the users you want to update.

Click the three dots on the right side of a user’s row and choose Edit Labels. Any labels that are already assigned to the user will appear. You can select a previously created label template or create new labels directly for the user without using a template.

Step 7: Apply Changes
Once you have made your selections, click Save to apply the labels to the user’s Gmail account.
